Essential Job Summary:

The Tax Analyst is responsible for overseeing and managing all aspects of sales and use tax compliance, reporting, and audits for a waste services company. This role ensures the company adheres to all state and local tax regulations while optimizing tax strategies to minimize liabilities and risks. Additionally, the position will oversee the preparation and filing of 1099 forms to ensure compliance with IRS regulations. The ideal candidate will have experience managing tax compliance in a multi-state environment, particularly in the waste management, recycling, and environmental services industries.

Sales & Use Tax Compliance & Reporting:

  • Manage and oversee the preparation, review, and timely filing of sales and use tax returns across multiple jurisdictions.
  • Ensure proper tax treatment of waste disposal, recycling, and hauling services, considering exemptions and special tax rules.
  • Maintain and update tax rates, exemption certificates, and compliance systems.
  • Monitor changes in tax laws that impact waste services, including surcharges and environmental fees.

 

1099 Reporting & Compliance:

  • Oversee the collection and verification of W-9 forms from vendors, including independent contractors and subcontractors.
  • Ensure accurate classification of vendors for 1099 reporting, especially for transportation, landfill, and equipment rental providers.
  • Prepare, review, and file 1099 forms with federal and state agencies in compliance with IRS deadlines.
  • Reconcile vendor payments to determine reportable transactions.
  • Address vendor inquiries regarding 1099 reporting and resolve discrepancies.
  • Tax Research & Analysis:
  • Stay up to date on changes in sales and use tax laws, especially as they pertain to waste services, landfill operations, and environmental fees.
  • Conduct research on tax issues and provide guidance to internal stakeholders regarding taxability of waste collection, disposal, and recycling services.
  • Analyze the tax implications of business transactions and recommend tax-saving strategies.

 

Audit & Risk Management:

  • Lead and manage sales and use tax audits, including responding to auditor requests and resolving disputes.
  • Identify areas of risk and develop strategies to mitigate potential liabilities.
  • Maintain proper documentation and records to support audit defense.
  • Process Improvement & Technology:
  • Identify opportunities to improve tax compliance processes and implement automation where applicable.
  • Work with IT and finance teams to optimize tax reporting software and ERP systems.
  • Ensure proper integration of tax compliance tools with waste management billing and accounting systems.

 

Cross-Functional Collaboration:

  • Partner with accounting, finance, procurement, and operations teams to ensure proper tax treatment of transactions.
  • Work closely with fleet management, landfill operations, and third-party vendors to ensure tax compliance in contract agreements.
  • Provide training and guidance to internal teams on sales tax compliance, 1099 reporting, and best practices.

Requirements and Qualifications:

  • Bachelor’s degree in Accounting, Finance, Business, or a related field. CPA or CMI certification is a plus.
  • Minimum of 3 years of experience in sales and use tax compliance. Experience in waste management, recycling, or environmental services is preferred. Experience with 1099 reporting is required.
  • Strong knowledge of multi-state sales and use tax laws and regulations, particularly as they apply to waste services.
  • Familiarity with IRS 1099 reporting requirements and deadlines.
  • Proficiency in tax compliance software (e.g., Vertex, Avalara, OneSource).
  • Experience with ERP systems such as MS D365, or billing systems for waste management.
  • Advanced Excel skills and ability to analyze large data sets.
  • Strong analytical and problem-solving abilities.
  • Excellent communication and leadership skills.
  • Attention to detail and ability to manage multiple deadlines.

This position is not bonus eligible for 2025 but will be for 2026.

Salary Range Minimum

USD $80,000.00/Yr.

Salary Range Maximum

USD $100,000.00/Yr.
