Essential Job Summary:

The Payroll and 401(k) Administrator is responsible for managing and executing payroll-related functions with a strong focus on 401(k) plan administration, compliance, and reporting. This role ensures accurate processing of garnishments, child support orders, and tax levies, and supports audit and compliance activities. The ideal candidate will have experience with Dayforce and a minimum of 3 years of hands-on experience managing 401(k) plans, including annual discrimination testing and reconciliation.

Payroll Administration:

  • Process and maintain garnishments, child support orders, and tax levies in accordance with federal and state regulations.
  • Provide requesting agencies with employment status, support or payment information in a timely manner.
  • Prepare and provide accurate payroll reporting as needed.
  • Collaborate with HR and Finance teams to research and resolve discrepancies.
  • Monitor HR ticket system and assist as first level response or assign to appropriate team members.
  • Review incoming mail and distribute as needed.

 

401(k) Plan Administration:

  • Administer the company’s 401(k) retirement plan, including employee enrollments, contributions, and distributions.
  • Maintain accurate records of all 401(k) transactions and investment activities.
  • Collaborate with vendors and recordkeepers to ensure smooth plan operations.
  • Support employee inquiries regarding plan eligibility, loans, rollovers, and distributions.
  • Reconcile 401(k) contributions and loan repayments between payroll and plan provider.
  • Assist with annual compliance testing (e.g., ADP/ACP, Top-Heavy, 402(g), 415 limits).
  • Help facilitate enrollment and educational workshops.
  • Audit plan data for accuracy and completeness.

 

Compliance & Additional Support:

  • Prepare and maintain detailed records for internal and external audits related to union benefits.
  • Monitor regulatory changes and ensure compliance with federal, state, and union-specific requirements for retirement plans.
  • Maintain and update SOPs and manual tracking systems.
  • Coordinate with Payroll, HR, and Benefits teams to ensure accurate deductions and enrollments.
  • Participate in projects to enhance reconciliation workflows and reporting accuracy.
  • Support mergers/acquisition activity as needed.

Cross-Training & Collaboration:

  • Cross-train with the Payroll Reconciliation Specialist to ensure coverage and continuity.
  • Assist with union-related payroll and billing tasks as needed.

 

Requirements and Qualifications:

  • Bachelor’s degree in Accounting, Finance, Human Resources, or related field (preferred).
  • Minimum 3 years of experience administering 401(k) plans and payroll functions.
  • Strong understanding of collective bargaining agreements, retirement plan regulations, and benefits compliance.
  • Proficiency in Microsoft Excel, Outlook, PowerPoint, and HRIS/payroll systems (Dayforce/Ceridian preferred).
  • Strong Excel skills and familiarity with payroll systems and retirement plan platforms.
  • In-depth understanding of payroll laws, ERISA, IRS regulations, and 401(k) compliance requirements.
  • Experience with garnishment processing and tax levy administration.
  • Excellent attention to detail, analytical thinking, and problem-solving skills.
  • Ability to manage multiple priorities and make independent decisions.
  • High level of integrity and discretion when handling sensitive financial and personnel information

USD $28.85/Yr.
